About the role We're looking for a highly organized, proactive contractor to provide executive-level administrative and operational support to our CEO. This role sits at the intersection of executive assistance, client relationship coordination, and internal team operations — making it ideal for someone who thrives on variety, values clear communication, and takes pride in keeping things running smoothly. What you'll do Executive support
Manage CEO communications with clients, partners, and internal teams
Coordinate meetings, follow-ups, and action items across accounts
Draft and organize communications, reports, and internal updates
Track and prioritize operational tasks assigned by the CEO
Client coordination
Support strong relationships with assigned healthcare clients
Participate in client check-ins (virtual and in-person) to ensure service satisfaction
Address client questions and coordinate the resolution of service-related concerns
Document and route client feedback for proper follow-up
Operations & onboarding
Coordinate internal contractors and consultants to meet project milestones
Manage workflows and track progress in ClickUp or similar tools
Support new client onboarding — documentation, task tracking, cross-team coordination
Monitor service delivery timelines and flag issues early
Admin & documentation
Maintain organized records of client communications and operational updates
Prepare periodic summaries on client activity and project status
Represent the company professionally while maintaining HIPAA compliance
What we're looking for
Experience in executive assistance, operations coordination, or client-facing roles
Experience in healthcare operations management.
Strong written and verbal communication skills
Comfortable managing multiple priorities in a fast-paced remote environment
Proficiency with project management tools (ClickUp experience a plus)
Familiarity with healthcare industry norms and HIPAA requirements preferred
Ability to travel within New England occasionally for in-person client meetings
Self-directed, organized, and professional in all interactions
