This is an exciting opportunity to make a direct impact on small manufacturing businesses by coordinating high-quality, hands-on training programs that build workforce capacity and drive business growth.
POSITION SUMMARY
The Workforce Program Coordinator plays a central role in the planning, delivery, and continuous improvement of hands-on, in-person manufacturing training programs serving eligible small manufacturing businesses. This position coordinates day-to-day program operations, tracks participant progress, and ensures training activities align with grant requirements, performance targets, and reporting obligations.
KEY RESPONSIBILITIES
Program Delivery & Coordination
  • Coordinate scheduling, logistics, and facilitation of hands-on, in-person manufacturing training sessions across assigned regional service areas.
  • Liaise with training instructors, subject-matter experts, and facilities to ensure timely, high-quality delivery of training curricula.
  • Manage participant enrollment, attendance tracking, and completion records using the program's Learning Management System (LMS).
  • Support onboarding of eligible small manufacturing firms, communicating program requirements, expectations, and benefits.
  • Ensure training content covers required topic areas including machinery operation, quality control, industrial software, workplace safety, supply chain management, and manufacturing cost/pricing.

Data Collection & Reporting
  • Collect, verify, and maintain accurate program data in accordance with federal grant requirements, including pre- and post-training metrics on bids submitted, contracts awarded, jobs created, and revenues generated.
  • Administer participant surveys upon training completion to capture feedback on training quality and relevance.
  • Compile data inputs for quarterly performance reports and annual reports submitted to the grants management system.
  • Track key performance indicators including 12-month placement rate, 24-month retention rate, employer rehire rate, cost per placement, and wage-at-placement benchmarks.

Participant Support & Outreach
  • Serve as a primary point of contact for program participants, addressing questions and connecting firms with additional resources such as resource partners, lenders, and business development centers.
  • Support marketing and outreach efforts to recruit eligible small manufacturing firms, including attendance at industry events, trade associations, and community meetings.
  • Assist in developing outreach materials tailored to target markets including HUBZone firms, 8(a) participants, economically disadvantaged women-owned businesses, and low-income businesses.

Administrative & Compliance
  • Maintain documentation required for federal compliance, including signed program forms, records of assistance, and cost documentation.
  • Assist with budget tracking and ensure expenditures are properly recorded and allocated to grant-approved cost categories.
  • Support preparation of quarterly financial reports and performance progress reports.
  • Adhere to the organization's conflict-of-interest policy and ensure all participant interactions are conducted in accordance with program ethics requirements.

REQUIRED QUALIFICATIONS
  • Bachelor's degree in Business Administration, Workforce Development, Education, Public Administration, or a related field; equivalent work experience may be considered.
  • Minimum 3 years of experience in program coordination, workforce development, or training delivery, preferably in a manufacturing or technical environment.
  • Demonstrated experience managing multiple concurrent projects and meeting deadlines.
  • Proficiency with data management tools, spreadsheet software, and LMS platforms.
  • Strong written and verbal communication skills with the ability to engage diverse audiences including small business owners, instructors, and government partners.
  • Experience working with federally funded programs and familiarity with grant compliance requirements is highly preferred.

PREFERRED QUALIFICATIONS
  • Knowledge of manufacturing industries, processes, and the challenges facing small manufacturing businesses.
  • Experience working with socioeconomically disadvantaged small businesses, HUBZone firms, or minority-owned enterprises.
  • Familiarity with CAD/CAM platforms, ERP systems, and other industrial software used in training environments.
  • Bilingual or multilingual capability is a plus.

PERFORMANCE METRICS
Success in this role will be measured against, but not limited to, the following:

  • Accuracy and timeliness of data collection and reporting submissions.
  • Participant satisfaction scores from post-training surveys.
  • Employment placement and retention rates for program graduates.
