About The Role We are seeking a highly organized, proactive, and compassionate Practice Operations Manager to oversee and support the daily operations of our growing practice. This fully remote role requires an individual who can serve as a central coordinator across various organizational functions, including administrative workflows, provider operations, recruitment, systems improvement, and patient experience enhancement. The Practice Operations Manager will work closely with leadership to translate strategic ideas into actionable plans, address operational challenges, and develop scalable processes that support sustainable growth. The ideal candidate will excel at creating structure within complex environments, balancing professionalism with warmth, and adapting to the evolving needs of the organization. Qualifications
3+ years of healthcare operations, clinic management, or practice management experience
Strong organizational and project management skills
Ability to manage multiple priorities and coordinate various tasks simultaneously
Excellent communication skills with a warm, direct, and collaborative approach
Comfort working independently in a remote environment
Systems-oriented mindset with a focus on continuous improvement
Flexible, startup-minded attitude willing to wear multiple hats
Ability to lead with both accountability and kindness
Proficiency with CRM management, Canva, Excel, and AI tools
Responsibilities
Oversee the day-to-day operations of the practice, ensuring smooth administrative workflows
Support and troubleshoot operational issues to maintain high responsiveness and patient satisfaction
Assist Patient Care Coordinators with escalated or complex cases
Develop and refine systems, workflows, and operational processes for efficiency and scalability
Support hiring, onboarding, and operational training processes for new team members
Coordinate recruiting logistics, candidate communication, and provider onboarding workflows
Foster a positive, collaborative team culture that emphasizes growth and support
Lead and coordinate operational projects from planning through implementation
Improve scheduling, intake, communication, and patient flow systems
Coordinate with external vendors, contractors, and partners to support organizational growth
Support referral, marketing, and community outreach initiatives
Monitor operational metrics, develop reports, and identify opportunities for continuous improvement
Ensure compliance with licensing, certifications, and operational documentation requirements
Maintain confidentiality and professionalism in all aspects of work
