About The Role
We are seeking a highly organized and proactive Executive Assistant to provide exceptional support to our leadership team, specifically supporting the Chief Growth & Strategy Officer and other key executives. This role requires a dynamic individual who thrives in a fast-paced environment, demonstrating initiative, professionalism, and a keen eye for detail. The successful candidate will be responsible for managing complex calendars, coordinating travel arrangements, preparing expense reports, and facilitating communication across various departments. The position demands excellent interpersonal skills, technological proficiency, and the ability to anticipate needs and prioritize effectively. This is an in-office role based in the United States, and candidates must be authorized to work without sponsorship. The Executive Assistant will play a crucial role in ensuring the smooth operation of executive functions and contributing to the overall efficiency of the organization.
Qualifications
  • 4+ years of administrative experience supporting multiple executives, including C-suite level
  • Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint
  • Strong organizational and time-management skills
  • Exceptional attention to detail and accuracy
  • Ability to handle multiple priorities simultaneously and adapt to changing needs
  • Technologically savvy with familiarity in digital apps and online resources
  • Excellent interpersonal and communication skills
  • Proactive mindset with the ability to anticipate needs and make independent decisions
  • Professional demeanor and ability to remain calm under pressure
  • Authorized to work in the United States without sponsorship

Responsibilities
  • Manage and maintain the calendars for the Chief Growth & Strategy Officer and other executive team members, ensuring efficient scheduling and prioritization
  • Coordinate domestic travel arrangements, including booking flights, accommodations, and preparing detailed itineraries
  • Facilitate effective communication between executives and internal/external stakeholders through various channels
  • Prepare and submit accurate monthly expense reports in a timely manner
  • Order daily lunch and manage catering logistics for the executive team
  • Assist with printing, scanning, mailing, and other administrative tasks as needed
  • Act as a liaison between the executives and other departments, ensuring seamless information flow and task execution
  • Support with ad hoc projects and special assignments to enhance executive productivity
  • Maintain confidentiality and exercise good judgment in handling sensitive information
