About The Role
Code.org is seeking an experienced Executive Assistant to provide comprehensive high-level administrative and operational support to our executive leadership team. The ideal candidate will act as a strategic partner, understanding organizational priorities and enabling executives to focus on high-impact initiatives. This role involves managing complex calendars, preparing executives for meetings, coordinating travel and logistics, and supporting organizational projects and initiatives. The Executive Assistant will serve as a trusted liaison across internal teams and external stakeholders, including the Board of Directors, ensuring seamless communication and efficient workflow. The position requires a proactive, detail-oriented professional who thrives in a fast-paced environment, demonstrates strong judgment, and possesses a keen interest in leveraging tools, systems, and AI to optimize executive operations.
Qualifications
  • 5+ years of experience providing administrative support to C-level executives, preferably within a nonprofit or mission-driven organization.
  • Proven ability to anticipate needs, exercise strong judgment, and manage competing priorities effectively.
  • Exceptional organizational skills, attention to detail, and time management capabilities.
  • Excellent written and verbal communication skills, with a professional demeanor across all levels of the organization.
  • Proficiency in Google Workspace (Docs, Sheets, Calendar, Meet), Slack, Zoom, and other productivity tools.
  • Experience supporting complex scheduling, meeting preparation, travel logistics, and high-impact event coordination.
  • Strong understanding of AI tools and their integration into executive workflows.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • U.S. Citizenship or Permanent Residency required.
  • Willingness to travel at least twice per year for team events.
  • Ability to work within the United States.
  • Successful completion of a pre-employment background check.

Responsibilities
  • Serve as a strategic partner to executive leadership, aligning priorities and resources to support organizational goals.
  • Manage and prioritize complex executive calendars, resolving conflicts and anticipating downstream impacts.
  • Prepare leaders for meetings and engagements by organizing inputs, drafting materials, and clarifying objectives and desired outcomes.
  • Act as an extension of the executive, tracking key initiatives, following up on actions, and ensuring progress on priorities.
  • Coordinate logistics for Board of Directors meetings, including preparing materials and managing communications.
  • Collaborate with internal teams to support high-level initiatives and special projects.
  • Plan and execute organization-wide meetings, offsites, and events, ensuring smooth logistics and an engaging experience.
  • Identify opportunities to improve workflows, communication, and decision-making processes through innovative solutions.
  • Coordinate travel arrangements and process expense reports efficiently.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Perform additional duties as assigned to support organizational effectiveness.
