About The Role We are seeking a highly organized and proactive Executive Administrative Assistant to join our RTX Enterprise Services team. This role is vital in supporting multiple executives by managing their daily administrative needs efficiently. The ideal candidate will possess exceptional communication skills, demonstrate proficiency with modern technology, and excel in managing complex schedules across different time zones. This position offers a hybrid work environment, providing flexibility while maintaining close coordination with leadership. The Executive Administrative Assistant will serve as a key point of contact, coordinate travel logistics, prepare for meetings, and handle sensitive information with utmost confidentiality. The role requires a self-motivated individual with a strong attention to detail and the ability to prioritize tasks effectively in a fast-paced setting. Qualifications
High School Diploma with at least 8 years of relevant work experience
Proficiency in Microsoft Office Suite, including M365, Outlook, Word, PowerPoint, and Excel
Experience supporting and communicating with Executive Leadership
Ability to handle a broad range of duties in a versatile environment
Strong organizational and time-management skills
Excellent interpersonal, verbal, and written communication abilities
Experience coordinating domestic and international travel arrangements
Demonstrated ability to maintain confidentiality and exercise sound judgment
Responsibilities
Manage executives’ calendars, schedule internal and external meetings, and coordinate conference calls and video conferences
Resolve scheduling conflicts efficiently and proactively anticipate the needs of executives and their teams
Represent executives professionally to senior officials within and outside the organization
Drive team discussions and follow-up correspondence to ensure clarity and accountability
Coordinate domestic and international travel arrangements, including logistics and accommodations
Prepare expense reports and mileage submissions accurately and in a timely manner
Organize meeting logistics such as booking conference rooms, arranging catering, and preparing materials
Maintain and update organizational charts and other administrative documentation
Participate in special projects and perform additional duties as required to support organizational goals
Act as a liaison across departments to facilitate communication and workflow
