About The Role
The Administrative Assistant to the Executive Team at Hadley Designs is a pivotal role responsible for ensuring the smooth operational functioning of the leadership team, including the CEO and CCO. This position acts as the operational heartbeat of the organization, managing communication channels, prioritizing tasks, and supporting key projects that enable the founders to focus on product innovation and strategic growth. The ideal candidate will be highly organized, proactive, and capable of handling sensitive information with professionalism. They will coordinate calendars, facilitate internal and external communications, support company-wide initiatives, and streamline administrative workflows to enhance overall efficiency. This role requires a full-time commitment, with the ability to respond promptly during core hours, and a mindset geared toward continuous improvement and operational excellence.
Qualifications
  • 3+ years of experience in an executive assistant, chief of staff, operations coordinator, or similar high-level support role
  • Proficiency in Google Suite (Gmail, Calendar, Docs, Sheets)
  • Experience with project management tools such as ClickUp
  • Strong understanding of modern AI tools and technology platforms
  • Exceptional organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Ability to handle sensitive information with discretion and professionalism
  • Proven track record of managing complex calendars, inboxes, and projects
  • Availability for full-time work with near real-time responsiveness (8 AM–6 PM CST core hours)
  • Native English speaker with a strong understanding of U.S. cultural nuances
  • Detail-oriented mindset with a proactive, results-driven approach
  • Experience supporting founders or executives in fast-paced environments is preferred
  • Growth mindset with a willingness to learn and adapt

Responsibilities
  • Manage and coordinate the calendars, meetings, and communication for the CEO and CCO, ensuring optimal time management
  • Handle sensitive and confidential information with professionalism and discretion
  • Support the execution of company-wide projects by working closely with department leads to maintain progress and deadlines
  • Prepare, review, and edit documents, presentations, and reports with accuracy and professionalism
  • Maintain and update operational dashboards, agendas, and company scorecards using tools like ClickUp
  • Assist in the hiring process, onboarding, and training of new team members
  • Organize travel arrangements, events, and manage both business and household logistics for executive leaders
  • Identify inefficiencies within administrative and operational workflows and implement improvements
  • Coordinate internal and external communications to ensure clarity and alignment across teams
  • Support the leadership team in strategic planning and execution of key initiatives
  • Ensure all SOPs are current and reflect feedback for continuous process improvement
