About The Role The Administrative Assistant position at Wilson Elser is a vital support role within the national client services team. This role involves serving as a key liaison between senior leadership and the broader team, facilitating effective communication and coordination across various projects. The Administrative Assistant will handle high-volume, confidential client communications and documentation, assist with project management tasks, and support data and document management initiatives. This position requires a detail-oriented professional capable of managing multiple priorities efficiently while maintaining a high standard of professionalism and discretion. The role offers a flexible, hybrid or remote work arrangement, allowing the successful candidate to work from any of the firm's office locations across the country. Qualifications
Bachelor's Degree or equivalent professional experience
Minimum of 1-2 years of experience in a law firm setting
Familiarity with Document Management Systems
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint)
Experience with data entry or data management
Experience supporting eDiscovery, information, data, or document collection and preservation (a plus)
Familiarity with web-based collaborative tools and work management software (a plus)
Experience with team messaging and instant messaging platforms (a plus)
Strong skills in email and calendar management, meeting coordination, and client interaction
Excellent organizational and administrative skills with the ability to prioritize and handle multiple requests
Meticulous attention to detail
Exceptional written, verbal, and interpersonal communication skills
Comfortable working in a collaborative, fast-paced environment supporting attorneys and paralegals
Professional demeanor and discretion in all communications
Responsibilities
Manage a high volume of client-facing communications, ensuring confidentiality and professionalism
Assist in project management functions, including data collection, entry, and management
Support document management processes, including organization, preservation, and retrieval of files
Coordinate meetings, schedule appointments, and manage calendars for team members
Provide clerical and administrative support to attorneys and staff as needed
Collaborate on projects related to client interfacing, document handling, and process improvements
Assist with data entry, data management, and reporting tasks to support team objectives
Maintain organized records of confidential documents and communications
Utilize collaborative tools and platforms to facilitate team communication and project tracking
Ensure timely follow-up on action items and deadlines
