About The Role
The Administrative Assistant at Emory University plays a vital role in supporting the operational efficiency of academic departments, research units, or specific programs. This position involves providing comprehensive administrative support to ensure smooth day-to-day activities and effective management of office functions. The role requires a proactive individual capable of handling multiple responsibilities, including managing schedules, coordinating meetings, preparing reports, and maintaining records. The Administrative Assistant will serve as a key point of contact for internal and external stakeholders, responding to inquiries and facilitating communication across teams. Additionally, this role offers the flexibility of remote work, balanced with the need to be physically present on campus as per departmental requirements. Qualifications
  • Bachelor’s degree or an equivalent combination of education and experience
  • Minimum of five years of administrative experience
  • Proficiency with Microsoft Office suite (Outlook, PowerPoint, Excel)
  • Experience with collaboration tools such as OneDrive, Zoom, Teams, or similar platforms
  • Excellent organizational and time-management skills
  • Strong communication and interpersonal abilities
  • Ability to handle multiple priorities and work independently
  • Knowledge of university policies and procedures is preferred
  • Residency in Georgia is required

Responsibilities
  • Provide administrative support for management, research environments, or specific programs within the department
  • Respond to incoming telephone calls and manage correspondence, including routine responses and document preparation
  • Maintain calendars, schedule meetings, and coordinate logistics for events and appointments
  • Prepare reports, charts, and presentations, including scientific and programmatic documents
  • Handle administrative tasks such as completing forms, grant applications, and maintaining records
  • Manage invoices, track expenses, and monitor budgets or grants as needed
  • Coordinate travel arrangements and prepare related documentation
  • Maintain databases, spreadsheets, and filing systems; analyze data and generate reports
  • Oversee office supplies inventory and order supplies as necessary
  • Supervise or provide guidance to support staff or students when required
  • Assist in planning and executing meetings, seminars, and special events
  • Perform other related duties to support departmental operations and objectives
