About The Role
The HR & Compliance Specialist (DOT Focus) plays a vital role in supporting the human resources functions with a specific emphasis on Department of Transportation (DOT) compliance, driver qualification management, and regulated onboarding processes . This position is responsible for ensuring adherence to federal and state regulations related to transportation safety and driver qualifications. Additionally, the role involves managing benefits administration, HRIS data accuracy (primarily Paylocity), employee onboarding, and training coordination across multiple locations with safety-sensitive employees.
The ideal candidate will have practical experience maintaining Driver Qualification (DQ) files , supporting DOT drug and alcohol compliance , administering group benefits , and collaborating effectively with operations, safety, and management teams to uphold compliance standards and enhance employee experience.
Qualifications
Required
  • Minimum of 2 years of HR experience with exposure to DOT compliance and driver qualification management
  • Hands-on experience maintaining Driver Qualification (DQ) files
  • Solid understanding of DOT/FMCSA regulations related to transportation and driver safety
  • Experience supporting benefits administration and group insurance programs
  • Proficiency with HRIS systems, with Paylocity experience strongly preferred
  • Exceptional attention to detail and accuracy in documentation
  • Ability to collaborate effectively across departments in a fast-paced environment

Preferred
  • Experience within transportation, waste management, logistics, or field-based operations
  • Familiarity with DOT audits or compliance reviews
  • Associate’s or Bachelor’s degree in Human Resources, Business, or related field

Responsibilities
DOT & Driver Compliance
  • Maintain and regularly audit Driver Qualification (DQ) files in compliance with FMCSA and DOT regulations
  • Track and manage driver credentials, including CDL status, medical cards, MVRs, prior employment verifications, and annual reviews
  • Coordinate DOT drug & alcohol testing processes, including pre-employment, random, post-accident, and reasonable suspicion testing
  • Support adherence to company Drug & Alcohol and Safety policies by ensuring proper documentation and compliance
  • Assist with DOT audits and compliance reviews, preparing necessary documentation and reports

Onboarding & Training (Safety-Sensitive Roles)
  • Coordinate onboarding activities for DOT-regulated and non-DOT employees
  • Ensure all required DOT onboarding documentation is completed prior to employees performing safety-sensitive duties
  • Support and track new-hire safety and DOT training, including Hours of Service (HOS) and drug & alcohol awareness programs
  • Maintain accurate and up-to-date onboarding and training records for compliance and reporting purposes

Benefits & HR Administration
  • Assist with group benefits administration, including enrollments, modifications, and terminations
  • Serve as a primary point of contact for employee benefits questions and coordinate with vendors
  • Support open enrollment periods and communicate benefits information effectively
  • Maintain employee records within Paylocity, ensuring data integrity and confidentiality

HRIS & Cross-Functional Collaboration
  • Utilize Paylocity for managing employee records, onboarding, and HR processes
  • Collaborate with Operations, Safety, Managers, and Vendors to resolve HR and compliance issues
  • Support HR reporting, recordkeeping, and internal controls to ensure compliance standards are met
  • Assist with additional HR initiatives and administrative duties as assigned
