We’re looking for a highly organized, proactive Administrative Assistant to support office operations and executive administration in our Midtown Manhattan office. This role is ideal for someone who thrives in a professional, fast-moving environment and enjoys being a reliable resource for both leadership and team members.

Role & Responsibilities
This position supports both office operations and executive administration. You’ll work closely with leadership and team members to help maintain an organized, professional, and efficient work environment.
Office Operations & Coordination
  • Maintain a clean, organized, and professional office environment
  • Manage office inventory including supplies, snacks, beverages, and equipment
  • Coordinate office orders, deliveries, and vendor relationships
  • Ensure conference rooms and shared spaces remain organized and ready for meetings
  • Assist with office organization, filing, and operational processes
  • Support internal team events, lunches, and occasional client meetings

Reception & Administrative Support
  • Serve as the primary point of contact for office visitors, deliveries, and incoming calls
  • Manage incoming and outgoing mail and packages
  • Support light bookkeeping and administrative finance tasks, including accounts receivable invoicing, payment tracking, and client follow-ups on outstanding invoices
  • Assist with document preparation, data entry, reporting, and general administrative tasks
  • Handle confidential information with professionalism and discretion

  • Help coordinate meeting logistics, conference room setup, and presentation materials
  • Support travel coordination and expense organization when needed

Team Support
  • Assist various departments with administrative and organizational projects
  • Help improve internal workflows and office efficiency
  • Provide general support to leadership and staff as needed

Qualifications
  • 1–3 years of experience in an administrative assistant, office coordinator, receptionist, or similar role
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Professional, friendly, and dependable demeanor
  • Ability to multitask and prioritize effectively
  • Proficiency in Microsoft Office and Google Workspace
  • Comfortable working in a collaborative office environment
  • Ability to handle sensitive or confidential information professionally

Nice to Have
  • Experience supporting executives or leadership teams
  • Familiarity with QuickBooks, CRM systems, or project management tools
  • Experience in marketing, technology, media, or data-related industries
  • Comfortable working in a fast-moving, entrepreneurial environment

Schedule & Work Environment
  • Part-time position
  • Approximately 3 days per week
  • Hybrid schedule:
  • 2 days per week in our Midtown Manhattan office
  • 1 remote workday
