We’re looking for a highly organized, proactive Administrative Assistant to support office operations and executive administration in our Midtown Manhattan office. Role & Responsibilities This position supports both office operations and executive administration. You’ll work closely with leadership and team members to help maintain an organized, professional, and efficient work environment. Office Operations & Coordination
Maintain a clean, organized, and professional office environment
Manage office inventory including supplies, snacks, beverages, and equipment
Coordinate office orders, deliveries, and vendor relationships
Ensure conference rooms and shared spaces remain organized and ready for meetings
Assist with office organization, filing, and operational processes
Support internal team events, lunches, and occasional client meetings
Reception & Administrative Support
Serve as the primary point of contact for office visitors, deliveries, and incoming calls
Manage incoming and outgoing mail and packages
Support light bookkeeping and administrative finance tasks, including accounts receivable invoicing, payment tracking, and client follow-ups on outstanding invoices
Assist with document preparation, data entry, reporting, and general administrative tasks
Handle confidential information with professionalism and discretion

Help coordinate meeting logistics, conference room setup, and presentation materials
Support travel coordination and expense organization when needed
Team Support
Assist various departments with administrative and organizational projects
Help improve internal workflows and office efficiency
Provide general support to leadership and staff as needed
Qualifications
1–3 years of experience in an administrative assistant, office coordinator, receptionist, or similar role
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Professional, friendly, and dependable demeanor
Ability to multitask and prioritize effectively
Proficiency in Microsoft Office and Google Workspace
Comfortable working in a collaborative office environment
Ability to handle sensitive or confidential information professionally
Nice to Have
Experience supporting executives or leadership teams
Familiarity with QuickBooks, CRM systems, or project management tools
Experience in marketing, technology, media, or data-related industries
Comfortable working in a fast-moving, entrepreneurial environment

Part-time position
Approximately 3 days per week
Hybrid schedule:
2 days per week in our Midtown Manhattan office
1 remote workday
