Job Title: Event Sourcing Manager Location: On-site in Dallas, TX Job Type: Full-Time Reports To: Director, Global Sourcing, Events and Travel Job Summary As the Event Sourcing Manager , you will play a critical role in ensuring the success of our programs by leading the strategy, sourcing, and negotiation process with hotels and accommodation partners. Your primary focus will be strategic event sourcing, securing optimal pricing, favorable contract terms, and value added opportunities that align with client goals and overall program success. The ability to balance relationships with strategic leverage is key to success. The ideal candidate brings extensive experience in event planning and/or sales, demonstrates exceptional negotiation and relationship building skills, and has a thorough understanding of hospitality operations and market dynamics. Role and Responsibilities - What You’ll Be Doing Strategic Sourcing & Client Partnership
Partner with Account Directors and Program Managers to understand client objectives, budgets, and program requirements.
Provide strategic recommendations on hotel and destination options aligned with client goals.
Own the end to end sourcing lifecycle from requirements gathering through contract execution.
Develop timelines and deliverables across the sourcing and contracting lifecycle.
RFP Management & Proposal Evaluation
Create and issue detailed RFPs.
Evaluate hotel proposals based on pricing, concessions, operational fit, and program alignment.
Develop and present sourcing recommendations to clients.
Conduct in depth research to ensure selected properties align with program goals and preferences.
Negotiation & Contracting
Lead contract negotiations, including rates, concessions, attrition, cancellation clauses, and program specific provisions.
Ensure contracts are accurate, compliant, and protective of client interests.
Manage renegotiations and cancellation negotiations, as needed.
Facilitate timely resolution of contractual challenges.
Financial Oversight & Forecasting
Provide financial guidance including:
Deposit structures
Budget support
Cost savings projections
Identification of ancillary revenue opportunities
Track pickup, commissions, and financial data pre and post contracting.
Timeline & Process Management
Track supplier milestones and option dates.
Ensure documentation and contracts are completed accurately and on time.
Maintain accurate records for new, tentative, confirmed, and canceled programs in alignment with internal processes.
Support refinement of contract templates and sourcing workflows to improve efficiency.
Supplier & Industry Engagement
Build and maintain strong partnerships with hotel brands, independent properties, CVBs, and international partners.
Attend site visits as needed.
Participate in supplier presentations and industry events (virtual and in person, including occasional travel and off hours attendance).
Stay informed on industry trends, market conditions, and new hotel developments to inform strategic recommendations.
Team Contribution & Operational Excellence
Support complex and high priority program needs, including VIP or unique client requests.
Ensure seamless handoff to operational teams post contracting.
Contribute to a high performing team culture through collaboration, knowledge sharing, and continuous improvement initiatives.
Qualifications:
Minimum of 5-7 years of proven experience in hotel sales/sourcing and contract negotiation within the event planning or hospitality industry
Strong understanding of hotel operations, market pricing, seasonality, and sourcing across domestic and international destinations
Exceptional written and verbal communication skills, with a high degree of professionalism in client facing environments. This role is 100% client facing, and the confidence to provide sourcing expertise from the outset is essential
Demonstrated ability to build and maintain strong relationships with internal stakeholders, external clients, and hotel partners
Solid travel industry knowledge, specifically within domestic and international hotel markets
Proven ability to structure and negotiate win-win solutions
Highly detail oriented with strong organizational and time-management skills
Strong critical thinking and analytical abilities
Advanced negotiation skills
Proficiency in event management and hotel sourcing tools (experience with Monday.com is a plus)
Ability to prioritize and manage multiple projects in a fast paced environment
Comfortable working both collaboratively as part of a team and independently
Quick learner with the ability to adapt rapidly
Willingness and ability to travel domestically and globally as needed
