2. About the Opportunity:
The Project Coordinator, State Licensing supports the management of insurance licenses and registrations across multiple states. This entry-level role ensures compliance by handling filings, tracking deadlines, and maintaining documentation for various license types. It contributes to the organization by keeping licensing processes organized and timely, which is essential for regulatory adherence and operational continuity.
3. Responsibilities:
• Prepare initial and renewal applications for multiple insurance license types across states
• Collect supporting documentation required for state filings
• Track deadlines and renewal dates using internal systems
• Coordinate payment of filing fees and maintain transaction records
• Monitor application status and follow up with state insurance departments
• Maintain a centralized repository of licenses, certificates, and regulation correspondence
• Scan, index, and file licensing documents according to retention policies
• Distribute licenses and related filings upon request
• Ensure documents are version-controlled and accessible to stakeholders
• Update licensing status trackers for all jurisdictions and entity types
• Alert Licensing Manager to compliance risks or imminent deadlines
• Assist with audits by organizing required documents
• Coordinate with internal departments to gather information for filings
• Perform additional assignments as needed
4. Requirements:
• Strong organizational skills with ability to manage multiple tasks and deadlines
• High attention to detail in data entry, document preparation, and recordkeeping
• Proficiency in Microsoft PowerPoint, Word, Excel, and Google Suite; quick to learn new software
• Clear written and verbal communication skills for interacting with regulators and teams
• Self-starter attitude with willingness to ask questions and learn on the job
• Bachelor''s degree in Business Administration, Healthcare Administration, Public Administration, or related field (recent graduates encouraged to apply)
