1. About Our Client : The organization operates in the legal education sector with a mission to advance law and justice by promoting access, equity, and fairness in law school admissions. It supports individuals throughout their journey from prelaw studies to legal practice. This team focuses on delivering technology solutions that enhance core business operations and facilitate organizational growth.
2. About the Opportunity : The Administrative Assistant provides essential operational and administrative support to the Vice President and Chief Information Officer within the Products/Services department. This role ensures smooth administrative processes and supports key initiatives by managing communications, scheduling, and project tracking. The position contributes to the efficiency and effectiveness of leadership operations, maintaining confidentiality and professionalism in a fast-paced environment.
3. Responsibilities :
  • Provide administrative support including scheduling, meeting planning, expense report submission, timesheet approval, travel coordination, file management, and supply ordering.
  • Draft and revise documents and correspondence as requested.
  • Create, edit, and review documents, spreadsheets, and presentations for accuracy.
  • Handle sensitive information with confidentiality.
  • Maintain a work plan with timelines, document indexing, and standard operating procedures.
  • Provide operational and basic project management support, tracking progress and managing stakeholder communications.
  • Support budget tracking by managing invoices, purchase orders, reconciliations, and approvals.
  • Organize and prioritize incoming mail and phone calls; determine contacts and actions, and prepare correspondence as needed.
  • Perform additional duties as assigned.

4. Requirements :
  • High school diploma required; some college coursework preferred.
  • Minimum of 5 years’ experience in a fast-paced office environment, preferably as an executive administrative assistant or in a similar role.
  • Experience with project management execution and accountability.
  • Proficiency with Microsoft Office products and Google Workspace.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to multitask, prioritize, and work independently under minimal supervision.
  • Attention to detail, sound judgment, and problem-solving abilities.
  • Professional demeanor with the ability to maintain confidentiality.

5. Pay Range and Compensation Package :
  • Pay rate: $28 to $32 per hour, depending on experience.
