Job Title: Associate Administrator
FLSA Status: Non-Exempt Leader/Manager: April Goodwin
Region: Central Region Office - Lenexa, KS
Summary: The Associate Administrator is a full-time, non-exempt, in-office position working Monday through Friday from 8:00 am - 5:00 pm. This role represents the Reese Group as a professional liaison across various levels of the organization, providing tactical backend support for internal office personnel and clients. The Associate Administrator provides a high-touch customer service experience by operating with a “one-customer” mindset with our clients. Professional email etiquette and consistent poise are utilized to maintain a high standard of professional presence that reflects the Reese Group’s commitment to service.
Administrative Duties and Responsibilities:
  • Reception Coverage: Answer the main office phone calls, greet incoming customers, maintain a clean and welcoming office environment.
  • General Office Procedures: Process daily mail and electronic faxes, package deliveries, send packages, presentation binding and printing, making copies.
  • Item & Data Entry: Enter and update specifications for new item setups, item changes, and item discontinuations. Process vendor cost changes.
  • Bulletin Creation: Create and distribute bulletins for new items, upcoming shows, and active promotions.
  • Order & Invoice Processing: Submit retailer orders, vendor invoices, and "swell" allowances for processing.
  • Backup Documentation: Download weekly retailer ads and invoice backup.
  • Purchase Order Coordination: Update and communicate purchase order revisions.

Other Duties When Required:
1. HGS Biannual Food Show Support: Make copies, assemble and pack show materials,
provide onsite show setup and teardown assistance (February and August).
Required Qualifications & Skills:
  • Technical and Software Proficiency: Strong data entry skills with a high degree of accuracy and attention to detail. Intermediate proficiency in Microsoft Office Suite (specifically Excel and PowerPoint).
  • Customer Service Skills: Demonstrate a “one-customer” mindset where every interaction is important. Provide focused attention through professional email etiquette and maintain professional poise (verbal and physical) with all clients.
  • Administrative Execution: Proficiency in executing repetitive tasks with high attention to detail, including the ability to solve problems and identify minor data inconsistencies. Ability to re-prioritize daily workflow to address urgent requests and solve immediate customer issues as they arise.
  • Organizational Skills: Successful method for tracking daily to-do items to ensure all deadlines and tasks are managed effectively. Capability to maintain digital filing systems with close attention to detail.

Education and Experience:
Associate Degree or higher in Business Administration or related field.
