The Role
The Logistics & Labor Coordinator is responsible for executing on-site operational logistics and labor coordination for live events and music festivals. This role ensures the efficient transportation, deployment, and management of company-owned assets while overseeing labor teams to support build, operation, and strike phases of events.
This position requires a highly organized, proactive individual who thrives in fast-paced environments and is comfortable traveling frequently (40–45%) to event sites.
Responsibilities
On-Site Festival Operations
  • Serve as the on-site point of contact for logistics and labor execution at festivals
  • Oversee load-in, build, show days, and load-out operations
  • Coordinate placement and deployment of all company assets on-site
  • Troubleshoot real-time operational issues and adapt quickly to changing conditions

Labor Coordination & Management
  • Coordinate and manage on-site labor crews (stagehands, drivers, installers, etc.)
  • Build and manage labor schedules based on event timelines
  • Ensure proper staffing levels for all phases of the event
  • Supervise crew productivity, efficiency, and safety compliance
  • Act as liaison between internal teams, labor providers, and festival partners

Transportation & Logistics Execution
  • Coordinate inbound and outbound transportation of assets to/from festival sites
  • Manage trucking schedules including semis, hotshots, and third-party carriers
  • Track shipments and ensure timely arrivals and departures
  • Adjust logistics plans in real-time based on-site conditions and delays

Carrier & Vendor Coordination
  • Communicate with drivers and carriers to ensure smooth delivery operations
  • Support sourcing and coordination of third-party transportation vendors
  • Maintain strong working relationships with logistics partners
  • Assist in negotiating and managing carrier performance

Asset & Site Coordination
  • Ensure all company assets are accounted for, properly staged, and maintained on-site
  • Coordinate with operations team on asset readiness and deployment
  • Assist in tracking equipment usage and condition throughout events

Compliance & Safety
  • Understand adherence to DOT regulations and transportation safety standards
  • Promote safe work practices for all on-site labor
  • Support emergency response and issue escalation when needed

Required
  • Experience in live events, festivals, touring, or production logistics
  • Strong ability to manage both logistics and people simultaneously
  • Comfortable working long hours in outdoor, high-pressure environments
  • Excellent communication and problem-solving skills
  • Highly organized with strong attention to detail
  • Ability to adapt quickly and make decisions in real time
  • Travel required approximately 40–45% of the time
  • Extended stays on-site during festivals (including nights and weekends)
