**Section 1: Overview and Scope of Position**

The Administrator plays a vital role in setting the tone for the office and ensuring the smooth, efficient, and organized flow of day-to-day operations at the Program Center. This position oversees organizational administrative functions, office facilities, internal and external communication processes, program data, and a small scope of client services.

The ideal candidate is a highly organized, proactive problem-solver, who is comfortable working in a social service environment, competent using a range of web-based software and able to multitask effectively.

**Section 2: Qualifications**

- At least 2 years’ experience in a high-capacity administrative role in a fast-paced environment where a mix of relational, logistical, and administrative skills were utilized daily. 3+ years’ experience preferred.

- Proficiency in Google Suite, Microsoft 365, Constant Contact, Weebly or similar drag/drop website applications, and the ability to learn web-based software quickly required.

- High School diploma required. College graduate strongly preferred

**Section 3: Key Responsibilities**

**Office Operations & Administration**

- Manage the office as the primary point of contact for visitors, inquiries over phone and email and, as such, sets the tone for public engagement

- Manages administrative volunteers (five clerical volunteers who each work one day a week) to ensure they are communicating effectively over the phone, emails, and engaging with visitors, and other specific functions.

- Manage day-to-day office functions, including all office supplies, stationary, equipment, and copy machine

- Coordinate meetings, events, and internal scheduling; prepare agendas, take minutes, and handle logistics.

- Maintain shared organizational files in Google Drive

- Maintain organized records of program data for grant compliance

**Communications**

- Work in conjunction with graphic designer to send regular update emails to supporters via Constant Contact

- Develop the org newsletter in conjunction with ED, program managers, and graphic designer as the editor responsible for outline, content, deadline and distribution (via CC)

- Point of contact and primary (though not sole) author for social media posts, working in conjunction with ED and program managers to spotlight key items.

- Be a primary architect of the website working in conjunction with ED & graphic designer to make changes, updates, and develop new content content as necessary

**Client Services**

- Take calls to schedule Food Service clients for monthly grocery shopping appointments in conjunction with Clerical Volunteer & Food Services team.

- Maintain the daily schedule for transportation program, booking clients for rides, and communicating schedule to driver

- Provide walk-in clients with Identity Restoration service

- Provide walk-in clients with Thrift Store vouchers in accordance with policy.

- Keep robust records of all client services for grant reporting & annual impact report

**Events**

- Coordinate logistics and provide administrative oversight for two primary fundraising events: annual gala (as part of gala team) and year-end giving campaign

**The Opportunity**

As Annual Giving Manager, you will lead the Pembroke Hill School Fund -the engine behind our annual philanthropic support. You will design and execute strategies that deepen donor engagement, grow our giving community, and maximize annual fund revenue. This is both a strategic and hands-on role: you will manage a personal portfolio of donors, oversee direct outreach campaigns, coordinate volunteers, and contribute to the publications and reporting that tell our school's philanthropic story.

**What You'll Do**

**Annual Giving Program Leadership**

- Lead the Pembroke Hill School Fund, aligning program strategy with the School's Strategic Plan to grow donor prospects and retain loyal supporters.

- Manage a personal portfolio of annual donors - cultivating relationships, making solicitations, and stewarding gifts - while meeting defined monthly visit and solicitation goals.

- Oversee the calendar of direct mail and email appeals to alumni, parents, grandparents, friends, and faculty/staff.

- Draft compelling annual fund appeal communications and determine smart segmentation strategies.

- Continuously develop new approaches to engage first-time donors and expand the overall giving community.

**Volunteer & Reunion Gift Efforts**

- Coordinate annual giving volunteer recruitment: recommend candidates for leadership roles, organize training meetings, and provide ongoing guidance throughout the year.

- Lead select Reunion Gift efforts, including identifying and recruiting committee chairs, supporting engagement activities, preparing materials, and writing acknowledgment letters.

**Data Analysis & Strategic Planning**

- Review and analyze gift reports to assess the status of fundraising efforts against goals.

- Develop and execute strategies to achieve alumni class goals and overall annual fund targets.

- Establish and track benchmarks that improve annual giving trends over time.

**Donor Stewardship & Communications**

- Collaborate with the Database Management and Donor Relations Managers to produce accurate, personalized donor acknowledgment letters.

- Oversee stewardship correspondence from the Head of School and Director of Advancement.

- Contribute to the Annual Philanthropy Report, from concept development to proofreading to drafting high-impact messaging.

Journey to New Life is hiring two Reentry Program Case Managers, one for our women's residential program and another at our main office. The ideal candidate would be someone who has strong advocacy skills and is passionate about helping clients overcome the barriers they face after incarceration. ~~People with lived experience of incarceration are strongly encouraged to apply.~~

Our mission is to create pathways for recently incarcerated people to overcome reentry barriers and live fulfilling lives.

**Agency Description**

Journey to New Life is a peer-led reentry program that guides individuals through the transition from incarceration to community integration by providing wrap-around services, including emergency assistance, housing assistance, case management, employment services, and peer support. Beyond direct assistance to individuals, we advocate for our clients in systems where they face discrimination and support policy reform in areas that directly impact their lives.

**Responsibilities**

- Goal Oriented Case Management: Case Managers use a strengths-based, solutions-focused approach and support clients in their identified goals. They connect clients to appropriate community resources, such as financial assistance, recovery services, mental health treatment, housing, employment, healthcare, and to address other needs as identified. They collaborate with community partners to ensure that interventions and community support services are available and easily accessible. They also provide crisis intervention services as needed.

- Advocacy Services: Case Managers provide support and advocacy services for clients concerning mental and physical health services, educational needs, legal and housing assistance, employment search and support, and other areas as identified by clients.

- Teamwork: Case Managers collaborate as a member of an interdisciplinary team within the agency. They attend team meetings, help form program policies and procedures, and maintain positive relationships with their coworkers. Case Managers also support the agency’s community outreach and relationship building, as well as the facilitation of peer support groups, as needed.

- Group Facilitation: Case Managers facilitate educational groups for both their case management clients and clients receiving services in other JTNL programs. Education is a big piece of the transformation and stabilization process and essential to upholding the Mission and Vision of JTNL.

- Professionalism: Case Managers communicate well with coworkers and clients. They respond to their voicemails, texts, emails, and messages in Teams each day. They represent the agency well in the community. Case Managers set healthy boundaries with clients and always protect their confidentiality.

- Documentation: Case Managers maintain accurate and timely documentation regarding communication and activities with clients and services received, including completing required reports, in accordance with policies and procedures and specific funding sources.

- Experience with individuals who have had involvement in the legal system

- Awareness of the importance of recovery services

- If in recovery, able to demonstrate at least two years of continuous sobriety

- Preference given to persons formerly incarcerated

- Familiarity with the legal system and how to support people in re-entry

- Ability to work independently and as a member of a team

Reentry Case Manager

Rose Brooks Center, a non-profit domestic violence agency seeks a full-time Performance and Quality Improvement (PQI) Manager, reporting to the Chief Operating Officer. The PQI Manager will conduct data analytics evaluation and monitoring to ensure program operations are consistent with Rose Brooks Center’s principles of trauma-informed care, accessibility, diversity and inclusion. This role does not supervise employees and provides guidance and support for the agency’s PQI processes, risk prevention and management efforts, and coordination of accreditation activities. Additional responsibilities include identifying trends, prioritizing and recommending improvements, reducing duplication of efforts, and ensuring compliance with Council on Accreditation standards. The PQI Manager works collaboratively with program directors, the Finance team, and the Development team on grant proposals, grant administration, reporting, and compliance, and maintains positive working relationships with Rose Brooks Center staff and partner agencies.

**Other Aspects Of The Position**

- Perform all job responsibilities in accordance with agency policies and procedures, while demonstrating proficiency in all RBC competencies and utilizing the principles of trauma informed care, accessibility and diversity and inclusion; demonstrates a commitment to the overall mission of Rose Brooks Center.

- Attend scheduled staff, team and supervision meetings; participate in all required trainings.

- This position primarily works on-site; however, there are duties that will be off-site such as attendance to community meetings
