Job Title: Administrative Assistant / Recruiter Location: Coral Gables, FL (On-Site) Position Overview: We are seeking a friendly, organized, and proactive Administrator to join our team at our Coral Gables office. This role is ideal for someone who enjoys being the first point of contact for visitors while also supporting day-to-day administrative operations and recruiting efforts. Key Responsibilities:
Greet and welcome visitors, clients, and candidates in a professional and courteous manner
Answer and direct phone calls, emails, and general inquiries
Maintain a clean, organized, and presentable front desk and office environment
Provide general administrative support such as scheduling, data entry, filing, and office coordination
Assist with interview coordination, including scheduling candidates and preparing materials
Complete interviews either in person or via Zoom
Support onboarding processes for new hires (documentation, orientation setup, etc.)
Coordinate office supplies and assist with basic office management tasks
Qualifications:
Previous experience in a receptionist, administrative, or customer-facing role preferred
Strong communication and interpersonal skills
Highly organized with attention to detail and the ability to multitask
Comfortable using office software (e.g., Microsoft Office, Google Workspace)
Familiarity with job board and using an ATS
Positive attitude and professional demeanor
