In this pivotal role, you will serve as the "Air Traffic Controller" for our agency, acting as the first point of contact for clients across all lines of business—including Property & Casualty, Medicare, and Group Benefits. We are looking for an outgoing professional who thrives in a moderately paced environment and enjoys multitasking. You will provide essential administrative support to our licensed agents, managing calendars, gathering critical intake information, and assisting with billing updates. Note: An active insurance license is NOT required for this role. Responsibilities Customer Engagement & Scheduling
Respond promptly to customer inquiries via phone and email with a warm, professional demeanor.
Active Calendar Management: Manage and coordinate schedules for our five-person production team (Mike Sr., Karen, Michael, Trenton, and Sarah).
Screen and route incoming calls effectively, taking detailed messages and directing clients to the appropriate specialist.
Monitor the general agency email inbox to ensure timely responses.
Universal Intake & Quote Processing
Conduct initial "intake" interviews with prospective clients to gather necessary data for quotes (P&C, Medicare, and Group Benefits).
Accurately input intake information into our CRM or agency management system for licensed agents to review.
Schedule follow-up appointments to ensure a seamless transition from intake to the sales process.
Administrative & Billing Excellence
Process client payments securely over the phone.
Assist clients with routine billing changes, such as updating payment methods or mailing addresses.
Provide clients with basic documents, including auto ID cards, proof of insurance, and policy declaration pages.
Maintain accurate digital records and assist with general agency organization, including scanning and filing.
Requirements
Communication Skills: Excellent interpersonal and communication skills (written, verbal, and listening).
Experience: 1–2 years of experience in an administrative, receptionist, or customer service role. Experience in insurance, real estate, or medical environments is a strong plus.
Tech Savvy: Proficiency in Google Workspace and the ability to quickly learn CRM software or agency management systems.
Attributes: Dependable, punctual, and capable of maintaining strict client confidentiality.
Licensing: No insurance license required; however, a willingness to learn industry terminology and guidelines is mandatory.
