Lanikai Homes is a luxury interior design and renovation firm based in Kailua, Hawaii. We lead high-end residential and commercial projects across Windward Oahu and greater Honolulu — from waterfront estates to multi-year institutional renovations at Mid-Pacific Country Club.

We're growing and need a sharp, self-directed Executive Assistant to support our owners, James and Jazzie Jenkins, across the full range of business operations. If you're someone who sees what needs to be done and does it — without waiting to be asked — read on.

WHAT YOU'LL DO

This role is the operational backbone of the business. Your job is to protect our time, keep client relationships warm, and turn chaos into structure. Specifically:

• Client follow-ups: Managing post-project communications — review requests, photo collection, testimonials, thank-you notes. Making sure no client relationship goes cold after handoff.

• Bookkeeping support: Expense tracking, receipt organization, coordinating with our CPA. QuickBooks experience required.

• Lead intake and pipeline tracking: Logging new inquiries, organizing a simple CRM, ensuring nothing falls through the cracks.

• Content editing support: Polishing blog posts drafted by AI, editing captions, proofing client-facing emails.

• Personal admin overflow: Appointments, scheduling, light family logistics. Discretion required.

• Calendar and scheduling: Consultations, site visits, internal meetings.

• Inbox management: Light triage, drafting responses, flagging urgent items.

• Real estate admin (occasional): Supporting James's Coldwell Banker realtor work when needed.

WHO YOU ARE

• Driven and self-directed. You don't wait for permission. If something's missing or blocking progress, you figure it out.

• High communication frequency. You respond fast. You keep us in the loop. You never ghost a task.

• Tech-comfortable. Google Workspace, QuickBooks, Wix (a plus), Notion or similar tools. You can learn new software quickly.

• AI-native or AI-curious. We use Claude, ChatGPT, and other AI tools heavily. You're comfortable prompting, editing AI output, and using AI to work faster.

• Calm under pressure. Construction and renovation are high-volume, high-variable businesses. You handle shifting priorities without drama.

• Excellent written communication. Your emails sound human, polished, and professional.

• Discreet. You handle sensitive client and personal information with complete confidentiality.

BONUS POINTS

• Previous experience at a design firm, construction company, real estate brokerage, or similar service business

• Mandarin Chinese language ability

• Background in marketing, content, or communications

WHAT WE OFFER

• $28–35/hour depending on experience

• Part-time: 20–25 hours/week to start, with potential to grow

• Hybrid schedule: 2 days/week in-person at our Kailua home office, 3 days remote

• Flexible hours within a standard weekday framework
