Summary The Billing Specialist’s primary job responsibility is to handle company invoicing, collections and communicating with the manager and other team members, as necessary. This position requires a detail-oriented individual, with a interest in accounting; a team player who can communicate effectively, manage multiple concurrent initiatives, and thrive in a deadline driven environment. Responsibilities
Follow up on discrepancies in proposals, contracts, billing instructions, invoices, and vendor invoice vs contracts
Manage preparing, crediting, revising, and sending monthly invoices/billing packages
Set up, use, and maintain online billing accounts for company
Manage collections
Research and resolve billing and payment discrepancies
Create and maintain projects in system, Smartsheets, and project folders
Account Reconciliation
Add change orders to Microsoft Dynamics SL
Provide job histories when requested by coordinators, principals, or project managers
Provide job contract breakdowns when requested
Provide help and support to all accounting staff
Other duties as assigned
Education/Experience
High School diploma (associate degree plus)
Entry level position in accounting
General knowledge of computers, Microsoft Office, Adobe, Internet, etc.
Experience with Microsoft Dynamic SL, Smartsheets and Excel a plus.
Organized, punctual and reliable.
Excellent verbal and written communications skills.
Ability to multitask in a fast-paced environment.
Strong attention to detail.
Physical Requirements
Ability to sit for extended periods of time at a desk and work on a computer.
Ability to occasionally stand, walk, reach, bend, or lift objects up to 15 pounds (e.g., files, office supplies).
Manual dexterity to operate standard office equipment, including computers, phones, printers, and scanners.
Visual ability to read documents, spreadsheets, and computer screens.
Ability to communicate clearly and effectively in person, over the phone, and via digital platforms.
Ability to occasionally travel to other offices (e.g., internal meetings or trainings).
