Job Summary
The Documentation Specialist will support CMC Development with a focus on records room operations and regulated documentation. This role is responsible for maintaining document management systems, organizing and preserving both digital and physical records, and ensuring compliance with internal policies and external regulatory requirements. The position requires strong attention to detail, technical proficiency, and the ability to work in a structured, compliance-driven environment.
Responsibilities
Manage and maintain document control systems, including DCM and PRM platforms
Organize, index, and archive regulated documentation in both digital and physical formats
Support records room operations, including document storage, retrieval, and preservation activities
Conduct periodic inventories and audits of documentation to ensure accuracy and compliance
Prepare reports, presentations, and meeting materials related to documentation workflows
Ensure adherence to internal policies and external regulatory standards
Provide administrative support related to documentation and compliance processes
Assist during audits, inspections, and high-volume documentation periods
Required Qualifications
High school diploma with a minimum of 3 years of related experience, OR
Associate degree with at least 1 year of related experience, OR
Bachelor’s degree with no prior experience required
Equivalent combination of education and relevant experience may be considered
Proficiency in Microsoft Office applications, including Excel and Word
Experience with document management systems or similar digital tools preferred
Strong organizational skills and attention to detail
Ability to learn quickly and adapt to new systems and processes
Demonstrated reliability and strong sense of urgency
Work Requirements
Full-time, 40 hours per week
On-site work required Monday through Friday, 8:30 AM to 5:00 PM ET
Flexibility for early or late hours during audits, inventories, or peak periods
Occasional remote work permitted for administrative tasks when physical presence is not required
Ability to operate office equipment including computers, printers, scanners, and digital senders
Successful completion of background checks and drug screening as required, including criminal history, employment verification, education verification, and federal compliance screenings
