Position Overview:
We are seeking a professional, detail-oriented Office Administrator / Project Support Coordinator to be the first point of contact at our office and assist our project management team with administrative project support tasks. In addition to front desk responsibilities, this role will be responsible for supporting the management of lien waivers and project setup and tracking in Procore .
Key Responsibilities:
Reception Duties:
  • Greet and welcome visitors, answer and direct phone calls professionally
  • Manage incoming mail, packages, and office supply inventory
  • Maintain a clean, organized reception and communal office area
  • Provide general administrative support to office staff as needed

Project Support Duties:
  • Assist project teams with initial setup of projects in Procore , including uploading documentation, creating project directories, and assigning roles
  • Help maintain Procore records throughout the life of the project
  • Track subcontractor documentation, including certificates of insurance and W-9 forms
  • Assist with collection, organization, and verification of lien waivers from subcontractors and vendors
  • Support compliance with monthly billing cycles and required closeout documentation
  • Coordinate with accounting and project teams to ensure lien waivers align with payment applications
  • Provide backup support to project coordinators as needed

Qualifications:
  • 2+ years of experience in an administrative, receptionist, in an construction office role
  • Familiarity with construction processes and documents is a plus
  • Experience with Procore or other project management software preferred (training available)
  • Strong organizational and communication skills
  • Detail-oriented with the ability to handle multiple tasks at once
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel)
  • Professional, courteous demeanor with a willingness to learn and support the team
