The Project Coordinator will work closely with Project Managers to support the successful execution of digital signage deployments across retail locations. The ideal candidate will have experience in customer service, operations, logistics, and project tracking. This role requires excellent organizational skills, the ability to multitask in a fast-paced environment, and proficiency with communication and documentation tools.

Duties and Responsibilities
Project Operations
· Support Project Manager in executing rollout plans across all regions
· Maintain project schedules and track milestones using project management tools
· Prepare and organize meeting notes, memos, reports, and project correspondence
· Coordinate technician schedules and ensure teams have access to correct site data and install kits
· Monitor project documentation compliance and file all deliverables appropriately
· Act as liaison between internal teams (warehouse, field techs, support) and external vendors
· Track changes in project status and escalate issues as needed
· Verify internal and external notes to ensure full scope was executed during project review
Logistics & Inventory Coordination
· Coordinate packing list generation, kit preparation, and order tracking with warehouse
· Monitor and confirm shipments and deliveries across all sites
· Ensure delivery dates, tracking numbers, and site readiness are up to date
· Assist with RMA requests, inventory counts, and kit verification
Process Analytics
· Track and flag shipment errors, inventory mismatches, or scheduling conflicts
· Identify trends, recurring issues, and process improvement opportunities
· Support standard operating procedures and continuous improvement initiatives
· Ensure all internal tracking are up-to-date accurate with notes and status
Administrative Support
· Schedule meetings and maintain team calendars
· Maintain clean and accurate project records and documentation
· Assist in the preparation of site completion reports and audit documentation
Skills and Qualifications
Qualifications Requirements
· 2+ years in customer service, coordination, logistics, or operations support (AV/IT project experience a plus)
· High level of accuracy with strong attention to detail (Required)
· Proficiency in Microsoft Excel, including VLOOKUPs and Pivot Tables (Required)
· Excellent organizational and time management skills to manage multiple tasks and deadlines (Required)
· Strong written and verbal communication skills (Required)
· Ability to work independently in a fast-paced, multitasking environment (Required)
· Comfortable collaborating across warehouse, install, support, and vendor teams (Required)
· Experience with project management platforms such as Jira, Confluence, Smartsheet, Asana, or Monday.com (Preferred)
· Familiarity with AV or digital signage deployments (Preferred)
Salary Expectations
• Salary range for this position is 45,000 - 55,000 + Benefits
