Position Overview Boca Grande Club, a private club and gated community, is seeking a highly professional, detail‑oriented Communications Manager & Executive Assistant . This role supports executive leadership while overseeing internal and external communications, marketing materials, and member‑facing content. The ideal candidate is an excellent communicator with strong organizational skills, a polished writing style, creative design ability, and the highest level of discretion and professionalism. This position plays a key role in managing the Club’s messaging, brand presentation, and executive coordination. Key Responsibilities Executive & Administrative Support
Provide direct administrative support to the CEO, including scheduling meetings, coordinating calendars, and preparing correspondence
Create, edit, and format executive presentations, reports, forms, and documents
Assist with meeting preparation, agendas, and follow‑up materials
Handle confidential and sensitive information with discretion and professionalism
Communications & Marketing
Draft, edit, and distribute email marketing campaigns and member communications
Maintain and update member communication preferences and distribution lists
Oversee content creation and scheduling for member announcements and notices
Ensure clarity, accuracy, and consistency in all communications
Design & Brand Management
Design flyers, digital graphics, and visual materials for Club events and initiatives
Manage Club graphics and branding assets
Design and format presentations for leadership use
Work within established brand standards to ensure consistency across all platforms
Newsletter & Club News
Record and organize Club news and updates
Design, edit, and coordinate production of the Club newsletter
Collaborate with departments to gather timely and relevant content
Coordination & Organization
Coordinate schedules and meetings involving executive leadership
Track deadlines and ensure communications and materials are delivered on time
Edit and proofread documents, files, and presentations for accuracy and professionalism
Required Skills & Qualifications
Exceptional written and verbal communication skills
Strong attention to detail and organizational ability
Professional demeanor with the ability to interact confidently with leadership, staff, and members
Proven ability to maintain confidentiality at all times
Ability to manage multiple projects and priorities efficiently
Technical Skills
Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint)
Experience with Canva preferred
Working knowledge of Adobe Acrobat preferred
Experience with Adobe Photoshop or similar design software preferred
Education & Experience
Associate’s or Bachelor’s degree in Communications, Marketing, Business Administration, or a related field is a plus
3+ years of experience in communications, marketing, executive assistance, or a similar professional role preferred
Experience in a private club, hospitality, or member‑based organization is a plus
